Airbnb message templates

# Airbnb message templates:
every message a host sends, written once.

A host sends the same six messages to every guest: the welcome after booking, the check-in instructions, a mid-stay check, the check-out reminder, the house rules and the review request. Writing them once and reusing them is the single biggest time saver in hosting. This hub collects Airbnb message templates for each stage, with placeholders for the guest, the address, the door code, the Wi-Fi and the check-out time, plus a page on which messages to automate and which to keep human.

## What good host messages have in common

They arrive before the guest has to ask. The door code comes the day before, not when the guest is standing at the door. The check-out time comes the evening before, not as a knock from the cleaner. Timing is most of the craft.

They are short and specific. Guests read messages on a phone in a taxi. The code, the floor, which door, where to park. Neighborhood tips and the story of the building go in the house manual, where people read them with a coffee.

They sound like a person. Guests rate the host as much as the apartment, and a message that reads like a hotel system loses the warmth that earns the fifth star. Use your name, use theirs, and ask one question that shows you are paying attention.

## Airbnb message examples to start from

Four messages across a stay. The pages linked below carry eight to twelve for each stage.

### Before and during the stay

> Thanks for booking, \[Guest\]. You are all set for the dates you chose, and the check-in details will land the day before arrival. Meanwhile, roughly when will you reach \[Address\]? Knowing helps me have the heating on and the lights ready.

> Hi \[Guest\], a quick one on day two: is everything working as it should? If the hot water takes longer than a minute or the Wi-Fi drops, tell me now rather than in the review and I'll fix it today.

### Leaving and after

> Good morning \[Guest\]. Check-out is at \[Check-out time\]. Keys on the kitchen counter, pull the front door until it clicks, and please do not strip the beds, the cleaner prefers to. Thank you for leaving the place so tidy, it was noticed.

> \[Guest\], it was a pleasure hosting you. If anything was less than perfect, tell me directly and I will sort it. If you enjoyed the stay, a few honest words in a review go a long way for a small host. The door is open next time you are in town.

## Templates by stage of the stay

Each page has ready-to-send messages, timing tips and answers to the questions hosts ask.

### Welcome messages

After booking, the day before and on arrival, with the one question that makes guests feel expected.

### Check-in instructions

Codes, floors, parking, arrival time questions and what to say when the keypad will not cooperate.

### Check-out messages

The evening-before reminder, the morning list, late check-out offers and the lost property note.

### Automated messages

Which six messages to schedule, when each should fire, and the four situations that always need a human.

### House rules

Sending the rules without sounding like a landlord, and the messages for when a rule is being broken.

### Review requests

Asking for five stars without begging, and what to write after a problem during the stay.

## A sending schedule that works

### Within an hour of booking

The welcome. Confirm the dates, say when the details will come and ask one question about the trip.

### The day before arrival

Check-in instructions: address, code, Wi-Fi, parking, and a question about arrival time and headcount.

### The morning after arrival

A short check that everything works. Problems caught on day one stay out of the review.

### The evening before check-out

The time, the three things to do, and the late check-out offer if the calendar allows.

### Two days after check-out

Thanks and the review request, after you have left your own review of the guest.

## Sending the day-before message to every guest at once

The message that matters most is the one the day before arrival, and it is the one hosts with several listings forget. The short-term rentals page on Eventi takes a list of this week's guests, asks each one for an arrival time and guest count with buttons, and sends the check-in details the day before. It works over WhatsApp with a text fallback. There is no Airbnb or property management connection yet, so the guest list is pasted in each week.
