Airbnb check-in message

# Airbnb check-in messages
guests can follow from a taxi.

The check-in message is read on a phone, in a taxi, often at night and sometimes in a language the guest does not speak well. It has to carry the address, the right door, the code, the floor, the Wi-Fi and the parking in a form that can be followed step by step. These eleven Airbnb check-in message templates cover the instructions themselves, the questions that get a real arrival time out of guests, and the messages for when the code fails or the cleaner is late, with placeholders for the guest, address, door code and Wi-Fi.

## Writing instructions a tired guest can follow

Order the steps the way the guest meets them. Street, building, entrance, stairs or elevator, floor, door, code, inside. A message that gives the code first and the building second makes people scroll back and forth on a dark sidewalk.

Name the thing that goes wrong most often. In most listings it is one of three: the wrong entrance, the keypad needing a confirm button after the digits, or an alarm that beeps for thirty seconds. Put that sentence in every check-in message and your late-night calls drop by half.

Ask for an arrival time with options, not an open question. Before 3, 3 to 6, after 6. Guests tap one and you know whether to meet them, when to turn the heating on and whether the cleaner has enough time.

## Airbnb check-in message templates

Eleven messages in three groups. Replace \[Guest\], \[Address\], \[Door code\] and \[Wi-Fi\], and change the floors and parking to match your place.

### Instructions and codes

> Check-in details for \[Guest\]: the address is \[Address\], apartment 3B. Press \[Door code\] then the key symbol on the keypad, wait for the green light and push. Wi-Fi is \[Wi-Fi\], password on the fridge. Check-in from 3 PM.

> Hi \[Guest\], here is how to get in tomorrow. The lockbox is to the right of the gate, code \[Door code\]. Inside you'll find two sets of keys, the larger one opens the street door. Please put both back in the box when you leave. Any trouble, call me, do not force the lock.

> \[Guest\], your arrival guide: take the elevator to the fourth floor, the door with the brass number. Code \[Door code\]. The alarm panel beeps for thirty seconds, enter the same code to silence it. Wi-Fi network \[Wi-Fi\]. Parking in bay 12 in the garage.

> Hello \[Guest\], self check-in works from 4 PM. Smart lock code \[Door code\], press the lock icon after the digits. If the keypad is dark, touch it with your palm to wake it. Heating controls are explained on the card by the thermostat. Welcome!

### Arrival time and headcount

> Hi \[Guest\], what time do you expect to arrive on check-in day? Tap one: before 3 PM, 3 to 6 PM, after 6 PM. The place is usually ready by 2, and if you are early I can often let you drop bags.

> \[Guest\], a quick planning question before your stay: how many of you are arriving, and roughly when? I set out towels and make up beds per person, and I like to meet guests at the door when the timing works.

> Hello \[Guest\], your flight lands at 11 PM if I read the booking right. The lockbox works around the clock and the street is well lit, but please message me when you land so I know you are on the way. Taxis from the airport take about 40 minutes.

> Hi \[Guest\], early check-in on your date is possible from 1 PM for a small fee, or free from 3 PM as standard. If you would like the early slot, reply EARLY and I'll confirm with the cleaner. Otherwise see you at 3.

### Trouble at the door

> \[Guest\], if the code does not work: wait ten seconds, press the clear button, and enter \[Door code\] slowly. The battery is new, but cold weather can slow the keypad. If it still refuses, the spare key is in the lockbox by the gate, code 4471. Call me if you need to.

> Hi \[Guest\], the cleaner tells me she is running about twenty minutes behind today. The apartment will be ready at 3:20 rather than 3. The bar on the corner does a good coffee if you want to wait, and I'm sorry for the delay.

> \[Guest\], I see you are at the door, my doorbell camera just pinged. The entrance you want is around the corner on the side street, the green door with the number 14. Walk fifteen steps left from where you are standing. I'll stay on the line.

## Tips for check-in messages

### Send it the day before, mid-morning

Early enough that guests read it before they travel, late enough that the booking is firm. Resend the code alone on the morning of arrival for late flights.

### One step per sentence

Floor, door, code, confirm button, alarm. Guests follow sentences. They lose their place in paragraphs.

### Photos help, but text must stand alone

A photo of the entrance is useful. The message still needs the words, because photos do not load on bad data and cannot be read aloud to a taxi driver.

### Give options for arrival time

Three windows and a tap beats what time will you arrive, which gets a vague answer or none.

### Say what to do if the code fails

A second method, whether a spare key or a neighbor, in the original message, so guests are not waiting for your reply at midnight.

### Change codes between stays

If the lock allows it, a new code per booking means an old guest cannot wander back in, and the message you send is genuinely for them.

## Check-in details for every guest, the day before

A host with three listings and weekend turnovers sends six check-in messages a week on six different days. The short-term rentals page on Eventi takes the week's guest list, asks each guest for an arrival window and guest count with buttons, and sends the check-in details the day before arrival. Answers come back as a list. There is no Airbnb or property management integration today, so the week's bookings are pasted in once.

## Airbnb check-in messages: common questions

Straight answers before you send anything.

### What should an Airbnb check-in message include?

### When should I send check-in instructions?

### How do I get guests to tell me their arrival time?

### Is it safe to send the door code by message?
