Automated appointment reminders

# Automated appointment reminders:
texts that confirm the chair before you open.

Automated appointment reminders are texts that go out on a schedule you set, one per booked patient or client, with their own time and provider filled in and a button to confirm, reschedule or cancel. The replies come back as a list, and only the people who have not answered get a second nudge. This page explains how that works, the cadence that gets the most confirmations, what to look for in appointment reminder software or an app, what Eventi does today, and eight reminder texts written for an automated send.

Free to start, no booking software needed.

## How automated appointment reminder texts work

The system needs three inputs: who is booked, when, and what you want to say. The who and when come from your schedule, exported or pasted as a list of names, numbers and times. The message is written once, with the name, day, time and provider dropped in for each person. At the hour you choose, every person on tomorrow's list gets their own text.

The message carries buttons rather than instructions. Confirm, Reschedule and Cancel are one tap each, and the tap is recorded against that person's name. The front desk sees a list, not a pile of chats: twelve confirmed, two want to move, one canceled, five silent.

The silent five are where automation earns its keep. A reminder goes to them, and only them, at the interval you set. The moment one of them taps, their reminders stop. By the time you open, you know exactly which slots are at risk and can offer them to the waitlist.

## Confirm, reschedule and cancel buttons

### Confirm

The person is coming. Nothing more happens for them, and they drop off every reminder.

### Reschedule

They want a different time. The reply is flagged on your list so someone can text back with openings. Eventi does not rebook automatically yet.

### Cancel

They are not coming. The slot shows as open immediately, early enough to fill from the waitlist.

### No answer

The useful fourth state. Treated as unknown until the last reminder has run, then surfaced as a short list for a phone call.

## A reminder cadence that works

### Day before, late morning

The main reminder, sent between 10 AM and noon so a cancellation leaves the afternoon to refill it.

### Same day, early

For anyone still silent, a short second message around 8 AM with the time and the address. No new question, just the same buttons.

### Two hours out, optional

Only for first visits or hard-to-find locations. Parking and the entrance, nothing else.

### After a no-show, same afternoon

A kind rebook request with a button for this week or next. Automation makes sure this one actually gets sent, which is where manual processes fail.

## What to look for in appointment reminder software

### Replies as buttons, not keywords

YES and NO typed by hand get misspelled, arrive as Yeah I think so, and need a human to read. Buttons produce clean data.

### Reminders only to the unanswered

If the second reminder goes to everyone, confirmed patients get annoyed and the tool is a scheduler, not a reminder system.

### A fallback when there is no WhatsApp

Some patients only text. The software should send the same message as an SMS without you managing two lists.

### Per-send pricing you can see

A monthly plan sized for a large practice is wrong for a two-chair office. Look for a cost shown before each send.

## Eight automated reminder texts

Written as they would arrive, with the details already filled in and the buttons named at the end.

### The day before

> Hi Marcus, this is Cedar Dental on 4th Street. Your cleaning with hygienist Amy is tomorrow, Tuesday, at 9:30 AM. Please bring your new insurance card and arrive ten minutes early for the updated health form. Tap Confirm, Reschedule or Cancel below. If you cancel after 5 PM today, we may not be able to refill the slot.

> Hey Nicole, Studio Luxe here. Your color and cut with Brianna is tomorrow at 1 PM, and she has blocked two and a half hours. Come with dry, unwashed hair if you can. Confirm with the first button, or tap Reschedule and Brianna will text you her next three openings. See you soon.

> Hello James, Parkside Family Medicine. You are scheduled for fasting blood work tomorrow, Thursday, at 7:45 AM, so no food or drink except water after midnight. Enter through the lab door on the left side of the building. Tap Confirm if that still works, Reschedule if it does not, or Cancel. Reply STOP to turn these off.

> Hi Avery, this is a reminder from Dr. Lin's office. Your appointment is tomorrow, Wednesday, at 4 PM, by video. The link is in Monday's email, and the room opens five minutes early. Confirm, Reschedule or Cancel using the buttons below. If you reschedule, you will get a text with the next open times by tomorrow morning.

### Same day, no-show and week ahead

> Good morning Teresa, Harborview Chiropractic. We have not heard back about your 11:15 AM adjustment with Dr. Brooks today. The office is at 220 Pier Road, with free parking behind the building. A quick tap on Confirm holds the slot. Tap Cancel if today does not work and we will release it to the waitlist.

> Daniel, this is Summit Orthopedics with a heads-up for your 3 PM first visit today. We are in suite 310 of the medical tower on Grand Avenue, and the garage entrance is on Pine. Allow fifteen minutes for check-in and bring the imaging CD if you have it. Tap On my way, or Running late if traffic is bad.

> Hi Sophia, this is Willow Pediatrics. We missed Leo at his 10 AM checkup this morning and hope everything is okay. There is no fee for today. Could you tap This week or Next week and Nurse Kim will text you two open times to choose from? If you would rather call, we are open until 6.

> Hello Robert, Clearview Optometry writing a week ahead. Your eye exam with Dr. Nguyen is next Friday, March 14, at 2:30 PM. If you wear contacts, bring the boxes so we can check the prescription. Tap Keep it if the date works, or Change it and we will send other times before the week fills up.

## What Eventi does today and what comes next

Today you paste or import tomorrow's list into Eventi's appointment confirmations page, write the message once, and pick Confirm, Reschedule and Cancel as the buttons. Each patient or client gets their own WhatsApp from Eventi's verified number with your practice name in the first line, and anyone without WhatsApp gets the same message as a text from a toll-free number. Replies update a live count you can export, reminders go only to the unanswered on the schedule you set, quiet hours are respected, and an AI phone call can go to the ones who never tap.

What comes next: a connection to booking and calendar tools so the list builds itself, recurring daily sends, and messages from your own business number. None of that is live yet, so today's workflow is a daily export and paste.
