Hygiene patients often do not remember the hygienist's name, so the practice name carries the weight. For procedures, name the dentist. It reassures nervous patients that the person they met at the consult is the one doing the work. Add the one instruction that prevents a wasted visit. Insurance card and photo ID for new patients. Nothing after midnight for sedation. A driver for extractions. Eat before a long appointment. Each of those lines saves a rebook that would otherwise happen at the front desk. Leave out the clinical detail. The word cleaning or checkup is fine. Numbness lasts two to three hours afterward, so plan lunch for later and skip hot drinks until it fades. Reply CONFIRM to hold the slot. > \[Name\], crown prep tomorrow at \[Time\]. Take regular medication as usual and bring a list of what you take, including blood thinners. The visit runs about 90 minutes and a temporary goes on before you leave. Nothing to eat or drink after midnight if you chose sedation, and someone must drive you home and stay a few hours. For 48 hours afterward avoid coffee, tea, red wine and tomato sauce, anything that would stain a white shirt. Reply OK, and the aftercare sheet arrives by text once you are done. ### Overdue recalls and missed appointments > \[Name\], over a year has passed since your last cleaning at \[Practice\]. Plaque does not wait. Reply BOOK for three openings this month, or call \[Phone\] to pick your own. > We missed you at \[Time\] today for your cleaning, \[Name\]. Days get away from everyone. Name a good weekday and the next hygiene slot with \[Provider\] is yours, usually within two weeks. > Hello \[Name\]. The \[Date\] appointment went unattended and the slot has been released to the waitlist. To rebook without a missed appointment fee, reply within 48 hours and the desk takes care of it. ## Tips for dental offices texting patients ### Send the day before at mid-morning Hygiene cancellations are refillable if you know by lunchtime. A 10 AM reminder leaves the afternoon to call the short-notice list. ### Confirm procedures twice A week out for crowns, extractions and anything with sedation, then again the day before. The week-ahead message is where patients remember they need a driver. ### Keep HIPAA in mind Texting is allowed with patient consent, but keep the content to time, place and provider. No tooth numbers, no treatment plans, no balances owed. ### Collect consent at intake A checkbox on the new patient form covering text reminders, and a note in the chart when someone asks to stop, keeps you covered. ### Ask for one reply YES, a number, or a button tap.
