Appointment reminder template

# Appointment reminder templates:
the right words for each moment.

The same appointment needs different reminders at different distances. A week out, the message checks that the date still works. The day before, it asks for a confirmation. Two hours before, it hands over the address and a way to say you are late. After a no-show, it rebooks without blame. This library has eleven appointment reminder templates sorted by those four moments, written for any business that books time, with placeholders for the name, date, time, provider and practice.

## How to use this template library

Pick one template per moment, not all eleven. Most businesses need exactly two: the day-before confirmation and the no-show follow-up. Add the week-ahead note if people book more than a month out, and the two-hour message if first-time visitors regularly get lost or arrive late.

Replace every placeholder before you send. \[Name\] is the person's first name as they gave it, \[Date\] is the day written out with the weekday, \[Time\] includes AM or PM, \[Provider\] is the person they will see and \[Practice\] is how your business is known locally. \[Phone\] is a number someone will actually answer.

Keep the reply instruction consistent across your messages. If the first text says reply YES, do not switch to reply C in the next one. People learn your pattern after one or two reminders and answer without reading.

## Appointment reminder templates by timing

Eleven templates in four groups. Each one stands alone, so take the one you need.

### One week before

> Early heads-up from \[Practice\], \[Name\]: \[Provider\] is holding \[Date\] at \[Time\] for you, one week from today. If that no longer works, reply MOVE and the open slots come to you before anyone else sees them.

> Looking ahead, \[Name\]: next week, \[Date\] at \[Time\], is yours at \[Practice\]. Nothing to do right now unless plans have changed, in which case reply CHANGE. A second note arrives the day before.

> \[Name\], calendar check from \[Practice\]. We have you penciled in for \[Date\] at \[Time\] with \[Provider\]. Glance at your week and answer KEEP or SWAP. Either word helps us plan staffing, and swapping now costs nothing.

### 24 hours before

> See you tomorrow at \[Time\], \[Name\]. \[Provider\] is expecting you at \[Practice\]. A quick YES confirms it. If tomorrow fell apart, reply NO instead and someone from the desk calls to rebook, no fee as long as we hear today.

> Tomorrow at \[Time\], \[Name\]. Bring a photo ID and the intake forms we emailed last week, filled in if possible. Tap Confirm, Reschedule or Cancel so the front desk knows what to expect when the doors open.

> Good afternoon \[Name\]. Quick confirmation for \[Time\] tomorrow. Our door code changed to 2580 this month, and the side entrance is closed for repairs, so use the front. Reply 1 if you are coming, 2 if it needs moving. STOP ends reminders.

### Two hours before

> \[Name\], \[Time\] today, roughly two hours from now. Street parking outside \[Practice\] is free after noon, and the meter lot across the road takes cards. Text RUNNING LATE and we juggle what we can.

> Heads up \[Name\]: \[Time\] today. The waiting room is small, so please arrive no more than five minutes early. Water and restrooms are down the hall on the right, and the elevator is around the corner from reception.

### After a missed appointment

> We had you scheduled at \[Time\] today, \[Name\], and did not see you. These things happen. Send two days that could work and the first opening on either one is yours, no questions asked.

> \[Name\], \[Provider\] here. Sorry we missed each other today. Long gaps undo progress, so pick a new date from the link below, or simply reply with a day and I'll book it myself before the schedule fills.

> Our records show a missed visit on \[Date\], \[Name\], and we would still like to see you. Call \[Phone\] during office hours or reply OPEN for this week's available times. If reminders are unwelcome, STOP switches them off.

## Tips for each moment

### A week out, ask about plans, not attendance

People cannot honestly confirm something seven days away. Ask whether the date still works and leave the confirmation for the day before.

### The day before, ask for the reply you can act on

YES, NO, or a button tap. A no the day before is a slot you can fill from the waitlist. A no on the morning of is an empty chair.

### Two hours out, skip the confirm request

They are already coming. Give the address, the parking note and a way to say they are late. Anything more is noise.

### After a no-show, lead with the rebook

Mention the fee policy once if you have one, then make rebooking the easiest thing in the message. Guilt does not fill calendars.

### Send inside business hours

Between 8 AM and 8 PM in the recipient's time zone keeps you inside the rules in most places and keeps the message welcome.

### Include an opt-out at least once

Reply STOP in the first reminder you send to a new number, and honor it the same day.

## From template to a daily send

A template only saves time once it is sent to everyone on tomorrow's schedule without retyping. The appointment confirmations page on Eventi takes a pasted list of names, numbers and times, drops each time into the message, and sends it over WhatsApp with Confirm, Reschedule and Cancel buttons. Contacts without WhatsApp get the same wording as a text from a toll-free number, and only the people who have not answered get the reminder. It does not connect to booking software today, so the daily list is exported and pasted.
