Therapy appointment reminder text

# Therapy appointment reminder texts:
confirm the session, keep the reason private.

A therapy appointment reminder text is read on a lock screen, in a kitchen, sometimes by a partner or a teenager who picks up the phone. So the message has to confirm the session without saying what the session is. These eleven templates use the provider's first name instead of a practice name, say session or appointment instead of therapy, and never mention a topic. They cover counseling and therapy, private tutoring and lessons, and coaching calls, and each asks for a reply the client can send with one word.

Free to start, your client list stays yours.

## Confidentiality starts with the sender name

If your practice is called Riverside Counseling, the practice name on a lock screen tells anyone who glances at it exactly where the client goes on Thursdays. Use your own first name or initials as the sender, and keep the practice name for the paperwork. The client knows who you are.

Say session, appointment or our time, never therapy, counseling or tutoring, unless the client has told you they do not mind. The same rule applies to tutors working with teenagers who would rather their friends not know, and to coaches whose clients are executives with assistants reading their phones.

Never reference content. No mention of what you talked about, what homework was set or how last week went. The reminder confirms a time and offers a way to move it. Everything else waits for the room or the video call.

## Discreet session reminder texts to copy

Eleven messages in three groups. \[Provider\] is your first name. \[Practice\] is left out on purpose in most of them.

### Counseling and therapy sessions

> Hi \[Name\], \[Provider\] here. Confirming our session on \[Date\] at \[Time\], same room as last time, second floor, the door with the green plant. Reply YES to keep it, or MOVE and alternatives follow.

> \[Name\], a reminder that we meet tomorrow at \[Time\] by video. The link is the same one as always, and headphones help. Reply 1 to confirm or 2 if it needs shifting. No need to say why.

> Hello \[Name\], our \[Time\] appointment on \[Date\] is coming up. If you would rather meet online this week, reply ONLINE and a link comes instead of the address. Otherwise nothing to do.

> Just confirming \[Date\] at \[Time\], \[Name\]. From tomorrow the 24 hour cancellation window applies. Reply OK and I'll see you then.

### Tutoring and lessons

> \[Provider\] here, \[Name\]. We meet \[Date\] at \[Time\]. Last week's graded test and the textbook should be waiting on the table, plus a pencil that works and the homework sheet. Reply YES to confirm.

> \[Name\], SAT prep with \[Provider\] tomorrow at \[Time\], online. Have a calculator, scratch paper and a quiet room. Reply CONFIRM to lock it in or RESCHEDULE to pick another evening this week.

> Piano lesson on \[Date\] at \[Time\], \[Name\]. Bring the Czerny book and the recital piece, and have the metronome app installed. Reply 1 to confirm, 2 if the week is too busy.

### Coaching calls and missed sessions

> Coaching call on \[Date\] at \[Time\], your time zone, \[Name\]. I'll phone you at this number, so keep it handy and find a quiet spot. Reply YES if that works, or send me a better window.

> \[Name\], looking forward to our session on \[Date\] at \[Time\]. Before then, jot down one win and one stuck point from the week. Reply OK to confirm.

> Check-in tomorrow at \[Time\], \[Name\]. If you want to pick up where we left off, bring the plan we drafted. Reply CONFIRM, or ask to reschedule, either is fine.

> \[Name\], we had a session at \[Time\] today and I did not hear from you. I hope everything is alright. Reply whenever you can and another time will be found. No charge this week.

## Tips for therapists, tutors and coaches texting clients

### Ask how the client wants to be reminded

At intake, ask whether texts are okay, which number to use and whether the practice name may appear. Write the answer down. Some clients want no texts at all.

### Use a business number, not your personal phone

It separates work from home, gives you a record of consent and opt-outs, and lets a colleague cover reminders when you are away.

### Send the day before, in the afternoon

Morning texts get buried. A reminder around 2 PM gets a reply before the evening, and a cancellation can be offered to the waitlist.

### Offer a format switch, not a reason

Reply ONLINE to switch to video is a kindness for clients having a hard week. Do not ask why they want to switch.

### State the cancellation window once

The 24 hour policy belongs in the agreement the client signed. In the reminder, one neutral sentence is enough.

### Keep the no-show message gentle

A missed session can mean a bad day. Lead with concern, offer a new time, and leave the policy conversation for the next session.

## Reminders for a full caseload

A therapist with twenty-five clients a week or a tutor with a dozen students sends the same reminder over and over. The appointment confirmations page on Eventi takes a pasted list of first names, numbers and times, sends each person a WhatsApp from your business number with Confirm, Reschedule and Cancel buttons, and texts anyone without WhatsApp from a toll-free line. The message wording is yours, so it can stay as discreet as the templates above. Only clients who have not answered get a second reminder. There is no scheduling software integration today, and the client list never leaves your account.
