Automated text messages

# Automated text messages:
reminders that send themselves and stop when answered.

Automated text messages are messages a business or organizer sets up once and a system sends on its own: an appointment confirmation the day before, a payment reminder on the due date, a follow-up to a lead who went quiet, a headcount request before an event. The useful ones ask for a reply and stop as soon as they get one. This page explains what you need to send them, how reminders that stop on an answer work, the consent and quiet-hours rules in the United States, and eight examples you can adapt.

## What automated text messages are for

For a small business or an organizer, automation is the three or four messages you send every week by hand and would rather not: tomorrow's appointment confirmations, the invoice that is now ten days overdue, the parents who have not said whether their kid is coming Saturday, the customer who asked for a quote and then disappeared.

Each of those has the same shape. A list of people, one message with their details dropped in, a question with a small set of answers, and a reminder for the ones who do not answer. Automation means the system does the filling in, the sending, the counting and the reminding, and you look at a list of names with a reply next to each.

## What you need to send automated texts

### A list

Names and phone numbers, with any detail the message uses, such as the appointment time or the amount due. A spreadsheet export from whatever you book or invoice with is enough.

### One message

Written once, with the name and the details filled in per person. Your business name goes in the first line so the recipient knows who is asking.

### A sender

A number the messages leave from. Eventi sends on WhatsApp from its verified number with your name up front, and falls back to a text from a toll-free number for contacts who do not use WhatsApp.

### A way to reply

Buttons such as Confirm, Reschedule and Cancel, or Paid and Need more time. Replies are what turn a sent message into information you can act on.

### A reminder rule

How many times to nudge, how far apart, and the hours to stay quiet. The rule should only ever apply to people who have not replied.

## How reminders that stop when someone answers work

This is the piece that separates automation from a scheduled blast.

1

### Everyone gets the first message

Each contact receives their own message with their own details and the reply buttons.

2

### Replies are recorded as they come in

A tap on Confirm marks that person as answered. The count on your dashboard changes the moment it happens.

3

### The reminder looks only at the unanswered

At the time you set, say 24 hours later, the system sends the reminder to the people with no reply yet. Everyone who already tapped hears nothing.

4

### The sequence ends on an answer or at the last reminder

If someone replies between reminders, the rest of their sequence is canceled. If they never reply, they appear on your list as silent, which is its own useful answer.

## Consent and quiet hours, honestly

In the United States you need the person's permission to text them. For reminders about something they booked, paid for or signed up to, a line on the form or a checkbox at booking is enough, and you should keep a record of it. Promotional messages need clearer, separate consent. Every message should identify your business and give a way to stop, and when someone opts out you honor it the same day.

Send inside normal hours in the recipient's time zone. Nothing before 8 AM or after 9 PM is the safe default, and some states are stricter. Eventi respects quiet hours by default and the schedule is yours to set.

## Eight automated text message examples

Each one is written as it would arrive, with the name and details already filled in.

### Reminders and confirmations

> Hi Dana, this is Lakeview Physical Therapy. You have a session with Ryan tomorrow, Wednesday, at 2:15 PM. Wear shorts or loose pants and bring the exercise band from last week. Tap Confirm if we will see you, Reschedule to pick another slot, or Cancel if you need to skip this one. Reply STOP to end these reminders.

> Hello Mr. Alvarez, Greenfield Plumbing here. Invoice 2217 for the water heater installation on October 3 is now twelve days past due. You can pay online with the link in your email or by card over the phone. Could you tap Paid if it has already gone through, Pay this week, or Need to talk so we know where things stand?

> Thanks for booking, Priya. Table for six at Fig and Vine on Friday, December 5, at 7:30 PM, under your name. We hold tables for fifteen minutes past the reservation. High chairs are available if you need one. Tap Correct if everything looks right, or Change if the time or the party size has moved.

> Hi Jordan, this is Brightpath Tutoring. Your SAT math session with Ms. Okafor is Saturday at 10 AM in room 2, and the practice set from Tuesday should be finished before then. Can you confirm you are coming? Tap Yes, Running late, or Not this week. If it is not this week, Ms. Okafor will send a makeup time.

### Follow-ups and requests

> Hi Elena, Mark at Northside Kitchens. I sent the quote for the cabinet refacing last Thursday and wanted to check in before the calendar fills for January. Is the plan still moving ahead? Tap Yes, let's schedule, Still deciding, or Not right now. Any answer helps me plan, and there is no follow-up if you pick the last one.

> Hey team, this is Rosa from HR. The summer picnic is Saturday, July 19, from noon at Cedar Grove Park, pavilion B, and families are welcome. Catering needs numbers by July 10. Tap Coming, Coming with family, or Can't make it. If you are bringing family, I will follow up for a count of kids for the activities.

> Reminder from Riverbend Animal Shelter: your dog walking shift is this Sunday from 8 to 10 AM. Leashes and treat bags are in the blue cabinet by the kennels. Please tap I'll be there so Maggie can plan the route, or Can't this time so she can find cover. Either way, thank you for signing up.

> Hi Kevin, it's Ortega Auto on Main Street. Your Civic went home yesterday with new brake pads and rotors. How has it been driving? Tap Great, Something feels off, or Not sure yet. If anything is off, Luis will call you today to book a look at no charge.

## What Eventi automates today and what comes next

Today Eventi takes a pasted or imported list, one message, up to three reply buttons and a reminder schedule, and does the rest: sending on WhatsApp from its verified number with your name in the first line, falling back to a text for contacts without WhatsApp, placing an AI phone call to those who never answer, counting the taps live, and exporting the result. What comes next: sending from your own business number, recurring campaigns, and connections to booking and invoicing tools so the list fills itself.
