Wedding guest list template: the columns that actually matter

Every wedding guest list starts as a spreadsheet, and most of them are built wrong in the first ten minutes - one column called “name” and a lot of optimism. Here’s the template structure that survives contact with reality, free to copy into Google Sheets or Excel.

The columns that actually matter

• Household - one row per invitation, not per person. “The Cohen family” is one invite.
• Contact name + phone number - the person who’ll actually answer.
• People invited - the number covered by that invitation, so totals mean people.
• Side / circle - partner A, partner B, parents’ friends. Settles disputes fast.
• RSVP status - invited / yes / no / undecided. Not a checkbox; four states.
• Headcount confirmed - how many are actually coming, which is rarely the number invited.
• Notes - dietary needs, wheelchair access, feuds to respect in the seating.

Rules that keep it alive

• Phone numbers with country codes, from day one - future you will send messages to these.
• One source of truth: no “final_FINAL_v3” copies per parent.
• Update status the moment an answer arrives, or the sheet quietly becomes fiction.

When to graduate from the spreadsheet

The template above handles the building phase well. It starts failing when the answers start coming in - fourteen WhatsApp threads, two phone calls, and an aunt who told your mother “yes” at the grocery store.
