Overdue payment reminder

# Due and overdue payment reminders:
firm, fair and never rude.

A due payment reminder message should state who you are, which invoice or service it covers, when it was due and how to settle it, in a tone that gets firmer as time passes without ever turning hostile. The twelve templates below follow a five step sequence: due soon, due today, a few days late, two weeks late and a final notice. Each one leaves the door open for the customer to reply, because a reply is worth more than silence.

## How an overdue reminder sequence works

One reminder rarely clears an outstanding balance. People mean to pay, then the message scrolls away under twenty others. A planned sequence fixes that: each message is a little more direct than the last, spaced so nobody feels hounded, and every step asks for a small reply rather than a lecture.

Firmness comes from clarity, not from threats. The later messages simply add facts: the number of days overdue, the invoice reference, the date after which you will pause the service or call. Customers respect a business that is clear about its terms, and they resent one that sounds angry.

Keep each step short enough to read on a lock screen. The customer should know within one glance who is writing, what is pending and what they can do right now.

## Overdue payment reminder messages to copy

Twelve messages in three stages. Replace \[Name\], \[Business\], \[Invoice\], \[Amount\], \[Date\] and \[Phone\] with your own details.

### Due soon and due today

> Heads-up from \[Business\] accounts: invoice \[Invoice\] for \[Amount\] matures on \[Date\]. Already scheduled? Then nothing needed. Bank transfer and UPI particulars sit at the bottom of that PDF we emailed.

> Morning \[Name\]. Invoice \[Invoice\] reaches its due date today. If money is already moving, thank you, and one tap on Already paid lets us mark it received without bothering you again.

> \[Business\] billing desk: last month's maintenance charges, \[Amount\], become payable today, \[Date\]. Send a transfer screenshot once complete, or choose Paying this week if a couple more days would help.

> Statement check for \[Name\]: one open item remains on your \[Business\] account, invoice \[Invoice\], due before close of business. Puzzled by any line? Dial \[Phone\] and our accountant explains each charge.

### A few days late and two weeks late

> Invoice \[Invoice\] crossed its due date on \[Date\], \[Name\], and we have not spotted the credit yet. Banks sometimes hold transfers over weekends. Could you check on your side and send a quick update?

> Following up regarding outstanding \[Amount\] on invoice \[Invoice\], now five days beyond \[Date\]. Something incorrect about quantities or rates? Tell us and \[Business\] will issue a corrected copy straight away.

> Two weeks have gone by since invoice \[Invoice\] fell due, \[Name\]. We would like this settled before next billing cycle opens. Please reply with a date you are comfortable committing to.

> Pending balance of \[Amount\], overdue since \[Date\], still shows against your name in \[Business\] books. Would splitting it into two installments help? Reply Need to talk and we can agree terms this week.

### Final notice, respectfully

> Final reminder regarding invoice \[Invoice\], unpaid since \[Date\]. \[Business\] values our working relationship and wants a calm resolution. Kindly pay or respond before \[Date\] so your account remains active.

> Before pausing new orders on your account, \[Business\] is writing one last time about \[Amount\] open on invoice \[Invoice\]. A brief message outlining your plan is honestly all we need, \[Name\].

> Several reminders later, invoice \[Invoice\] remains unpaid. Ahead of any formal letter we would much rather speak. Ring \[Phone\] or tap Need to talk and someone from accounts calls you back today.

> Still no word about \[Amount\] owed since \[Date\], \[Name\]. Perhaps it was paid and simply not matched? Share the transaction reference and we close the file, with apologies for chasing.

## Timing for a due and overdue sequence

### Three days before the due date

A heads-up, not a request. It catches the invoice before it gets buried.

### On the due date

Short and neutral, with a way to say it is already paid or coming this week.

### Three to five days late

Assume a slip or a bank delay. Ask for an update and offer to fix any invoice error.

### Two weeks late

Ask for a committed date and offer installments. This is where most balances get resolved.

### Final notice

State the next step plainly, such as pausing orders, and still invite a reply. Never threaten or shame.

## Sending the sequence without chasing by hand

Keeping track of who has paid, who promised and who has gone quiet is the hard part of collections. Eventi takes your list of open invoices, pasted or imported from a spreadsheet, and sends each customer one WhatsApp from its verified business number that opens with your business name. Customers answer with buttons such as Already paid, Paying this week or Need to talk. Only the ones who stay silent get the next reminder, and every answer is counted and exportable for your bookkeeper. Customers in the United States without WhatsApp get a text from a toll-free number.

There are no payment links inside the message and no connection to billing software yet, so the open list is imported each cycle. Pricing is per contact messaged.
