Church potluck sign up sheet

# A church potluck sign-up that reaches
the members who skip the bulletin.

A church potluck sign up sheet usually lives on a clipboard in the fellowship hall or in the Sunday bulletin. It works for the members who were there that week. The families who missed a Sunday, the shut-ins who still want to send a pie, and the newer members who are not on the email list never see it. Reaching them is the real job, and it is easier one message at a time than one clipboard at a time.

## Who this is for

The hospitality or fellowship coordinator, the women's ministry lead, the deacon who got volunteered. You need enough food for the homecoming Sunday, the Wednesday night supper or the meal after a funeral, and you have one week and a pew full of people who mean to sign up.

Running short means a kitchen team that has to stretch ham for eighty with what is in the pantry. Running long on one category means taking four sheet cakes home.

## Church potluck categories by headcount

A starting point for a fellowship meal. Bereavement meals often need more mains and fewer desserts.

Many churches buy these. If not, ask two families.

## How to run it the usual way

1

### Bulletin and announcement

Two Sundays ahead, print the date, the categories and where the sheet is. Ask the pastor to mention it from the pulpit.

2

### Clipboard in the fellowship hall

Columns for name, category and dish. Leave it out after both services.

3

### Email or group text for the rest

Send the same sheet to the church email list or the small group chats the Tuesday before.

4

### Call the gaps

On Thursday, count the categories and call the reliable cooks to fill what is missing.

## Texts for a church potluck

Wording for the invitation, a reminder and the meal after a service.

### Invitation and reminder

> Grace and peace, Linda. Homecoming Sunday is October 26 and dinner on the grounds follows the 11 o'clock service under the big oak. Could your family bring a main dish, a side or a dessert? Tables and tea are covered by the kitchen crew. Let me know which so the spread stays balanced. Pastor Ray says save room for cobbler.

> Hello Mr. Patterson, this is Joan from the fellowship committee at First Baptist. The Wednesday supper on the 15th still needs sides more than anything, we already have plenty of pie. If you are able to bring green beans, rolls or a salad, that would be a blessing. If not this week, we will see you at the table anyway.

### Meal after a memorial service

> Dear friends, the Hollis family will gather in the fellowship hall after Margaret's memorial service on Friday at 2 PM. The bereavement team is preparing the meal and we would be grateful for casseroles, sides or a simple dessert dropped off at the kitchen door by 12:30. Please mark which you can bring. Thank you for caring for this family.

## The Eventi way for a congregation

Import the member list from your church directory as a CSV or Excel file. Write one message, and give it three buttons, Main dish, Side and Dessert. Eventi sends each member their own WhatsApp message from its verified number, with the church name in the first line. Nobody is added to a group chat and answers are private to you.

The dashboard counts each button live, so on Thursday you know you have nine desserts and four mains before you pick up the phone. Reminders go only to members who have not tapped, on the days you choose, and stop when they answer. In the US, members without WhatsApp get a text, and an AI phone call can reach those who still do not answer, which helps with older members who never open links.

To be plain about the limits: members cannot claim a numbered slot or type the name of their dish on a sheet. The buttons are the categories. Drinks and paper goods are better covered by the kitchen team or a direct ask.
