Office potluck sign up sheet

# An office potluck sign-up
that does not live in a forgotten tab.

An office potluck sign up sheet is usually a shared spreadsheet linked in an email or a chat channel. Half the team fills it in on day one, and the rest mean to. The person running it, often the office manager or an HR coordinator, ends up walking desk to desk on Thursday asking what people are bringing. A sheet is fine. What helps is a way to reach only the people who have not answered.

## Who runs it, and what is at stake

An office manager, an HR or people-ops coordinator, a team lead who offered. You are doing this on top of a full job, and every hour spent chasing replies is an hour off your real work. The worst outcome is twenty-five people and a table of tortilla chips, or the catering backup order you place on Friday morning because nobody signed up for mains.

## Practical rules for a workplace potluck

### Make it optional and say so

Some people do not cook, cannot afford to, or keep a restricted diet. Offer plates, drinks or setup as equal ways to take part.

### Ask for labels

A small card with the dish name and whether it has nuts, dairy, gluten or meat. Put a stack of cards by the table.

### Use the calendar invite for time only

Do not bury the sign-up inside the invite description. People accept the invite and never scroll.

### Set a cutoff two days ahead

Wednesday for a Friday lunch gives you time to fill the gaps or order a backup tray.

## Office potluck messages

For the team channel, email or a direct message.

### Announcement and nudge

> Team, our December potluck lunch is Friday the 19th at noon in the large conference room on the fourth floor. The company is covering plates, cups and sparkling water. Everyone else, please choose a main, a side or a dessert by Wednesday at 5 so we can see the gaps. Dietary notes are welcome, Raj is vegan and Ellen avoids gluten.

> Hi Marcus, it's Dana from people ops. I am finalizing Friday's potluck list and I do not have a pick from you yet. Mains are thin, only two so far for thirty-one people. If cooking is not your thing, a store-bought side counts just as much. One reply with your category and you are set.

> Morning all, two days until the Q3 kickoff potluck in the lobby lounge. Current tally is four mains, three sides and nine desserts, so we have officially reached cookie capacity. If you have not chosen yet, a salad, rice dish or bread would round the table out. The microwave schedule is taped to the kitchen door.

## Doing it with Eventi

Import the team roster as a CSV or Excel file. Write one message with three buttons, Main dish, Side and Dessert. Eventi sends each person their own WhatsApp message from its verified number, opening with your team or company name. Nobody is added to a group, and no one sees who picked what except you.

Counts per button update live, so on Wednesday you know whether to ask the remaining people for sides. Reminders go only to those who have not tapped, on a schedule you set, and quiet hours keep them out of evenings. In the US, people without WhatsApp get a text instead. Creating the list is free. Sending is paid per event, shown before you confirm.

The honest limit: colleagues cannot claim a numbered slot or type their dish onto a shared sheet. There are three buttons, so cover drinks and plates through the office budget or a direct ask. For a list of named dishes, keep the spreadsheet next to it.

## Office potluck questions

Straight answers before you send anything.

### How do I organize an office potluck?

### Should an office potluck be mandatory?

### Can I send the sign-up to personal phones?

### What if too many people choose dessert?
