RSVP tracker

# An RSVP tracker that fills itself in,
one tap at a time.

An RSVP tracker is a list of invited people with a status next to each name, a headcount for the ones who said yes, a deadline, and a way to chase the ones who have not answered. A spreadsheet can hold all of that, but someone has to type into it. When each guest gets their own message with Yes, No and Maybe buttons, the tap updates the tracker by itself, reminders go only to the blank rows, and the headcount for the caterer is a number on the screen instead of a Sunday night of counting.

## What an RSVP tracker needs

### A status per guest

Yes, No, Maybe and Not answered. The last one is the column that matters most, because it is the list you will be chasing.

### Plus-ones and household counts

A family invited as one row can show up as five people. The tracker needs a number next to every Yes, asked the moment the guest answers.

### A deadline

The date the caterer, the venue or the rental company needs a number. Every reminder counts down to it.

### Reminders that know who already answered

A reminder sent to the whole list annoys the people who replied on day one. Reminders should go only to the Not answered rows and stop the second someone taps.

### An export

A CSV or Excel file with the name, the status, the headcount and any note. The caterer and the seating chart start from that file.

## Spreadsheet versus automatic tracking

Both are RSVP trackers. The difference is who does the typing.

Spreadsheet

Automatic tracker

Where the answer comes from

Texts, calls and group chat replies you copy in by hand

A button tap in the guest's own message

Who updates the status

You, usually in the evening

The tap itself, the moment it happens

Plus-ones

A number you remember to ask for

A follow-up question asked right after Yes

Reminders

A message you write and send to everyone, or to a list you filter yourself

Sent only to Not answered, on a schedule, stopping on reply

Headcount

A SUM formula that is right if every row is

A live number on the dashboard

A spreadsheet is the right tool for a dinner of ten. Past thirty guests, the typing becomes the job.

## How button replies feed the tracker

1

### Import the guest list

Paste names and phone numbers, or upload a spreadsheet. Each row is a guest or a household, with a group column for the side, the office or the class.

2

### Write one invitation with three buttons

Yes, No and Maybe, or Coming, Can't make it and Not sure yet. Eventi sends each guest their own message from its verified WhatsApp number, opening with your name. Guests without WhatsApp get a text instead.

3

### Let the taps land

A tap sets the status on that guest's row. A Yes triggers a headcount question when the row is a household. A typed reply like we'll be there with the twins is read and filed as a Yes with the text kept.

4

### Reminders chase the blank rows

On the days you picked, the Not answered guests get a nudge. Quiet hours are respected, and a guest who answers between reminders never hears from the tracker again.

5

### Read the count and export it

Yes, No, Maybe and Not answered, each with a number, plus the total headcount. Export the sheet for the caterer the morning the deadline arrives.

## RSVP request and reminder texts that work with a tracker

Four invitations and four reminders, each asking for a single tap.

### RSVP requests

> Hi Aunt Carol, it's Megan. Jake and I are getting married on Saturday, June 14 at Hollow Oak Farm in Bend, ceremony at 4 PM, dinner and dancing after. We would love to have you and Uncle Ray there. Can you make it? Tap Yes, No or Not sure yet, and if yes, let us know how many of you are coming.

> Olivia is turning seven and we are taking over the Skyline Trampoline Park on Sunday, March 9 from 1 to 3 PM. Pizza and cake included, socks provided. Parents can stay or drop off. Will Ethan be joining? Tap Coming, Can't make it or Maybe so I can give the park a headcount by Wednesday.

> Reunion time. The Thompson family picnic is back at Lake Harriet, pavilion B, on Saturday, August 2 from noon until whenever the last cousin leaves. Bring a dish, we are supplying the grill. Reply with Yes, No or Maybe, and tell us how many seats to save at the long table. Grandma is counting.

> Dear Mr. and Mrs. Alvarez, you are invited to the Lincoln High School Class of 2026 Senior Awards Dinner on Thursday, May 22 at 6 PM in the Campus Commons. Seats are limited to two guests per family. Please tap Attending or Not attending by May 9 so the kitchen can plan the meals.

### RSVP reminders

> Hi Derek, Megan again. The caterer at Hollow Oak Farm needs our final count on Friday and your name is one of the last few empty rows on my list. No pressure either way, we just need to know. One tap on Yes or No and I will stop bothering you. Hope to see you in June.

> Hello Jenna, this is Lauren, Kate's sister. Her baby shower is next Saturday at 11 at my house on Maple Drive, and I still have a few blank spots on the guest list, yours included. Could you tap Yes or No today? The brunch order goes in Monday morning and I want to be sure there is a plate for you.

> Last call for the Henderson Company holiday dinner at Bistro Verde on December 12. The restaurant releases our unclaimed seats tomorrow at 5 PM. Mike, you have not answered yet. One tap, In or Out, and if In, whether you are bringing a guest. After tomorrow I cannot promise a chair.

> Hi Tasha, Deacon Williams from Grace Fellowship. The women's retreat at Camp Pinecrest is October 17 to 19 and the lodge wants room assignments by this Friday. I have you down as undecided. Would you tap Going, Not going or Still deciding? Even Still deciding helps me hold a bunk a little longer.

## Headcount for the caterer

The number the caterer wants is not the number of Yes replies. It is the number of plates, which means every Yes from a household needs a count attached, and every Maybe needs a decision before the deadline. An automatic tracker asks the headcount question right after the Yes, when the guest is already holding the phone, and treats a Maybe as Not answered for reminder purposes, so the undecided keep hearing from you until the deadline.

On the morning the count is due, the dashboard shows the total headcount, and the export has one row per guest with the number next to it. If you also published an event page, guests who prefer a link can answer there and the same row updates. The RSVP link page explains how, and the free RSVP trackers comparison covers what Partiful, Evite and a Google Form give you instead.
