HOA boards, condo associations and property managers

# Every owner reached,
every reply counted

The annual meeting needs a quorum and the email went to the spam folder of half the building. Board members and property managers end up knocking on doors, taping notices in the elevator and hoping. Import the owner list, send one WhatsApp with Attending, Sending a proxy and Can't attend buttons, remind only the people who have not answered, and watch the count climb toward quorum on a live dashboard.

WhatsApp

Hello Mr. Alvarez, this is the Willow Creek HOA board. The annual owners meeting is Tuesday, March 12, at 7 PM in the clubhouse. Will you attend?

Attending

Thank you. You are counted toward quorum. The agenda and the parking note will arrive the morning of the meeting.

## How it works

1

### Import the owner roster

Paste the list from your management spreadsheet. A group column for building, phase or floor lets you count attendance per building and remind one tower without the other.

2

### Write the notice once

Meeting, vote, maintenance window or pool closure, in your words, opening with your board's name. Up to three buttons with labels you choose. WhatsApp approves the wording within about a day.

3

### Send, then remind the silent

Owners who tap a button are done. The others get a reminder inside the hours you set and a final one before the meeting. Owners without WhatsApp get the same notice by text from a toll-free number.

4

### Read the count, export the record

Attending, proxy, declined and silent, per building. Export the list for the minutes, and use the check-in screen at the clubhouse door.

## What you get

### Quorum you can see coming

A live count per building tells you on Thursday whether Tuesday will make quorum, with time left to chase the silent.

### Notices that get read

A WhatsApp that opens with the association's name is read the same hour. The elevator flyer is not.

### Free text is understood

Replies like I'll be out of town or I am the new owner of 4B are read and filed, not lost in a group chat with two hundred members.

### A record for the minutes

Every answer carries a timestamp and the owner's name. Export to a spreadsheet and attach it to the meeting record.

## What works today

- One list per notice: annual meeting, special assessment vote, a maintenance window.
- Up to three buttons per question, reminders to the silent, and a day-of message with the agenda.
- Counts by building or phase on the dashboard, and a spreadsheet export for the minutes.
- Toll-free text fallback for owners without WhatsApp.

## What comes next

- Ballots with more than three choices and a tallied result per unit.
- A connection to association management software so the owner roster stays current.
- Dues reminders with a link to pay, once payment links are in.

## Questions businesses ask

Straight answers before you send anything.

### Can owners vote through this?

### What does an owner see?

### We have several buildings. Can I message just one?

### What does it cost the association?

### Can an owner opt out, and who sees the data?

## Try it with your own list this week.
