# Who is safe,
known in minutes, not hours

The storm made landfall overnight, and by 7 AM the HR director is working through a staff list of two hundred names with a cell phone, leaving voicemails. Nobody knows who is safe until the afternoon, and the people who need help most are the ones whose phones went straight to voicemail. Import the roster, send one WhatsApp with Safe, Need help and Not in the area buttons, and let the system reach the silent by text and then by voice, so the phones are saved for the handful who tapped Need help.

This is Cascade Community College. Evacuation orders are in effect for parts of Deschutes County because of the Ridgeline fire. Are you and your family safe?

Thank you, Elena. Campus is closed through Wednesday. Reply here at any time if your situation changes.

## How it works

1

### Keep the roster ready

Import the staff, student or member roster before anything happens, with a group column for the site, the department or the campus. An export from your HR or student system is enough.

2

### Approve the wording ahead of time

Write the roll call message once, with the three buttons, and get it approved by WhatsApp in about a day. On the morning it matters, the message is ready to send.

3

### Send, then reach the silent

Everyone gets the message within minutes. People who tap are counted. People who do not answer get a reminder, then the same question as a text from a toll-free number, and in the complete package an AI voice call in English that records the answer.

4

### Work the Need help list

The dashboard shows Safe, Need help, Not in the area and Not reached, per site and per department, as it happens. Responders call the Need help list first, then the Not reached list, and export the sheet for the incident log.

## What you get

### Minutes, not a morning

Two hundred messages go out at once. The first counts are on the screen before the coffee is poured, and the phone calls go only where a person is needed.

### Not reached is a list, not a guess

Anyone still silent after the reminder, the text and the call stays in a column with a name and a site, so a supervisor knows who to check on.

### Free text read, not skipped

A reply like we're at my sister's in Bend, power is out, or the road is flooded is read and filed under the closest answer, with the text kept for the responder.

### Counted by site

The group column shows each campus, plant or school on its own, so the site lead sees their people and the central team sees the whole picture.

## What works today

- A roster kept ready, with sites or departments as groups.
- Three buttons with your own labels, a reminder to the silent, text fallback from a toll-free US number, and AI voice calls in English in the complete package.
- Live counts per site and per answer, free-text replies kept with the record, and a spreadsheet export for the incident log.

## What comes next

- A connection to HR and student information systems so the roster updates itself.
- A shared inbox so several responders can work the Need help replies together.
- Repeating check-ins, such as a second roll call twelve hours later.

## Questions businesses ask

Straight answers before you send anything.

### How fast can the first message go out?

### What does an employee or student see?

### What does it cost to keep this ready?

### Who can see the answers, and how long are they kept?

### Can a school use it for families, not just staff?

## Try it with your own list this week.
