PTAs, room parents and class representatives

# Sixty messages in the group,
and still no count

The class group chat has sixty new messages since lunch. Somewhere in there are the parents who can drive on Thursday, the ones bringing cupcakes on Friday and three questions about the permission slip, and the room parent still does not know how many cars there are. Import the class list, send one WhatsApp per family with I can drive, I can chaperone and Not this time buttons, remind only the families who have not answered, and read a count instead of a thread. The group chat can go back to being a group chat.

WhatsApp

Hi Renee, this is the Room 12 parent committee at Oakwood Elementary. The field trip to the Science Center is Thursday, March 12. Can you help?

I can driveI can chaperoneNot this time

I can drive

Thank you, Renee. That makes four cars. How many kids can you take besides your own?

## How it works

1

### Import the class list

Paste family names and numbers from the directory or the sign-up sheet. A group column for the class, the grade or the homeroom lets a PTA read each class on its own.

2

### Write the ask once

The party, the trip or the bake sale in your words, with up to three buttons you label yourself. WhatsApp approves the wording in about a day, and the next event reuses it.

3

### Remind the families who have not answered

Parents who tap are done. The quiet ones get one reminder inside the hours you set and a final one before the deadline. A parent without WhatsApp gets the same question as a text from a toll-free number.

4

### Read the count, send the details

Drivers, chaperones, bakers and declines, each with a count. An optional day-of message carries the meeting spot and the time, and a thank-you goes out after.

## What you get

### A count instead of a scroll

Who is driving, how many seats, who is bringing what, in columns you can export to the teacher, not buried under forty thumbs-up.

### Seats and headcount after the yes

After a parent taps I can drive, an optional follow-up asks how many kids fit, so the carpool adds itself up before the morning of the trip.

### Free text filed where it belongs

Only if it's before 2, I can send cookies instead, and we'll be out of town are read and filed under the right answer, with the reply text kept.

### Every family gets their own message

No parent is left out because they muted the group. Each family gets a private message opening with the committee's name, with a short opt-out line at the end.

## What works today

- One list per event, with classes or grades as groups.
- Three buttons with your own labels, a seats or headcount follow-up, reminders to the silent and a day-of message.
- Live counts per class and per answer, and a spreadsheet export for the teacher or the office.
- Text fallback from a toll-free US number, and AI voice calls in English in the complete package.

## What comes next

- A sign-up with more than three options, such as a potluck list where each family picks a dish.
- A connection to school directories and PTA tools so the class list stays current.
- A link to collect dues or a field trip fee inside the message.

## Questions businesses ask

Straight answers before you send anything.

### We already have a class WhatsApp group. Why not just ask there?

### What does a parent see?

### What does it cost a volunteer committee?

### Can a parent opt out, and who sees the phone numbers?

### Can the PTA use one account for the whole school?

## Try it with your own list this week.
