# Stop running it
from a group chat

One question, 47 replies and still no headcount. Give everyone their own WhatsApp with buttons instead. Only the silent get a reminder, and by Friday you know how many are coming.

Hi Denise, this is the Oak Park Neighbors group. The cleanup is Saturday at 9 AM by the north gate. Can you make it?

## How it works

1

### Import the sign-up sheet

Paste names and numbers from your spreadsheet or sign-up form. A group column such as Saturday morning, Saturday afternoon or drivers lets you count each slot on its own.

2

### Ask once, with buttons

Write the message in your own voice, choose up to three button labels, and WhatsApp approves it within about a day. The same template serves the next drive.

3

### Remind the quiet ones

Volunteers who tap a button hear nothing more. Those who stay silent get a reminder inside the hours you set, then a final one. People without WhatsApp get the same question by text.

4

### Fill the short slot

The dashboard shows each slot with its count. When Saturday afternoon is light, send the ask again to a smaller group, and on the day use the check-in screen at the door.

## What you get

### Headcount after the yes

After someone commits, an optional follow-up asks whether they are bringing anyone or whether they can offer a ride, so the carpool and the headcount fill themselves.

### A message that sounds like you

The wording is yours, and the message opens with your organization's name, so volunteers know who is asking. Free text answers such as only until 11 or wrong number are read and filed with the rest.

### A day-of note with directions

An optional morning message carries the address, the parking note and the contact on site, sent only to people who said yes.

### A thank-you that costs you nothing

After the event, an optional thank-you goes to everyone who showed up, which is how first-timers become regulars.

## What works today

- One list per event or volunteer day, with slots as groups.
- Buttons with your own labels, reminders to the silent, and a final reminder before the day.
- Headcount and ride follow-ups, a check-in screen, and an export of who said what.
- Text fallback from a toll-free US number, and AI voice calls in the complete package.

## What comes next

- A standing roster that rotates through the month without a new import.
- A connection to volunteer management platforms so sign-ups flow in on their own.

## Questions businesses ask

Straight answers before you send anything.

### We use a volunteer management platform. Does it connect?

### What does a volunteer receive?

### What about the volunteers who said yes and then forget?

### What does it cost a nonprofit?

### Can volunteers opt out, and is their data safe?

## Try it with your own list this week.
