Volunteer sign up sheet

# A volunteer sign up sheet
that gets answers from the quiet half of the list.

A volunteer sign up sheet lists the jobs, the times and how many people each one needs, and lets volunteers put their name next to a slot. Paper, a Google Sheet or a sign-up site all do that. What none of them do on their own is reach the volunteers who never open the link. Coordinators lose more hours chasing those people than building the sheet, and an empty shift on the day is what the whole effort was meant to prevent.

Free to import your volunteer list. No credit card.

## Who this is for

The PTA volunteer chair filling the book fair, the food pantry coordinator staffing Saturday distribution, the youth league parent running the concession stand, the church ministry lead covering the nursery. You have a list of people who said they would help someday, and a set of shifts that need names this week.

## Columns every volunteer sheet needs

Column

Why it matters

Role or task

Greeter, setup, cashier, cleanup. Name it so people know what they are agreeing to.

Date and time

Start and end. Two-hour shifts fill faster than four-hour ones.

How many needed

So the sheet shows when a slot is full.

Volunteer name and phone

You will need the phone the morning of, when someone is late.

Notes

Age limits, background check, closed-toe shoes, where to park.

Keep a separate tab for the backup list, people who said call me if you are short.

## Three ways to run the sheet

### Paper at the event or meeting

Fast and personal. Reaches only the people in the room, and you type it up later.

### A shared Google Sheet

Free and flexible. Anyone with the link can edit, which means anyone can delete a row by mistake, and there are no automatic reminders.

### A sign-up site

Volunteers claim a specific slot, the site caps each shift and sends reminders to those who signed up. The best fit when you have many shifts and roles. It still needs people to open the link first.

## Volunteer recruiting and reminder texts

### Asking for help

> Hi Keisha, it's Tom from the Westside Food Pantry. Saturday distribution on the 8th needs four more people for the 8 to 10 AM shift unloading the truck and setting up tables. Gloves and coffee provided. Are you able to help this week? A simple yes or no lets me know whether to keep calling down the list.

> Hello Lincoln Elementary families. The fall book fair runs October 21 to 24 in the library and we need cashiers for each lunch period and after school. Shifts are ninety minutes and you must be on the approved volunteer list. Can you take one? Tell me which day works and I will send the exact time.

> Coach Ana here from the Eastside Rec soccer league. Every family covers two concession stand shifts this season. This Saturday the 11 AM and 1 PM slots are still open. The stand is next to field 3, training takes five minutes. Could your family take one of them? Reply with the time and I will lock it in.

### Before the shift

> Thanks for signing up for Saturday, Greg. Your shift at the pantry starts at 8 sharp at the loading dock behind the building on 4th Street. Wear closed-toe shoes and layers, the warehouse is cold early. If anything changes, message me before Friday night so I can find someone from the backup list.

## The Eventi way: one message, three buttons

1

### Import the volunteer list

Paste names and phone numbers, or upload a CSV or Excel export from your volunteer roster.

2

### Ask one question with up to three buttons

For example Morning, Afternoon, Can't this week. Each volunteer gets their own WhatsApp message from Eventi's verified number, with your organization's name in the first line.

3

### Watch the count

The dashboard shows how many tapped each button, live, and you can export it.

4

### Remind only the silent

Volunteers who have not answered get a reminder on the days you choose, inside quiet hours. Those who answered hear nothing more.

## Where a sign-up site is the better tool

Eventi does not give volunteers a sheet of numbered slots to claim, and it does not cap a shift at four names. If you are staffing a festival with thirty roles across three days, a sign-up site built around slots will serve you better. Where Eventi helps is the first problem, getting an answer at all from the people who ignore links and group emails. Many coordinators use both, a slot sheet for the detail and one message per person to get the replies in.

In the US, volunteers without WhatsApp get a text, and an AI phone call can reach those who still do not answer. Creating the list is free, sending is paid per campaign and shown before you confirm.

## Volunteer sign up sheet questions

Straight answers before you send anything.

### How do I create a volunteer sign up sheet?

### How do I get more volunteers to respond?

### Can volunteers pick a specific time slot on Eventi?

### Is it free?
