What columns should a wedding guest list have?

A single friend is 1. Keeping it in one column means your total headcount is just a sum, and it tells the RSVP flow how many seats to confirm.

How many guests should I invite?

There is no right number - it depends on your venue and budget more than on etiquette. A useful trick is to build an A list of must-haves first, then a B list you can invite as declines come in. The Side and Group columns in this template make it easy to see if one side of the family has quietly taken over the count.

What each column means

Name: Whatever you would write on the envelope. Keep it to one row per invitation, so a couple or a whole family shares a single line.
Phone: The mobile number in full international format, starting with the country code, so the WhatsApp invitation actually reaches them.
Language: The language the WhatsApp invitation arrives in. In the examples that is English or Hebrew, but you can set it per guest.
Party size: How many people the invitation covers. A family of four is 4, a guest with a plus-one is 2, a single friend is 1.
Side: Whose guest it is: bride, groom, or shared. Handy for balancing numbers and for seating later on.

How to build the guest list without the family drama

Start with the people you cannot imagine the day without and put them in first. Fill in the Side column as you go - bride, groom, or shared - so you can see at a glance whether one side is quietly running away with the count. When that happens it is far easier to have the conversation early, over a sheet, than to cut names once invitations are printed.

Keep one master file. The fastest way to lose a wedding guest list is to have three versions of it - one on your laptop, one your partner is editing, one a parent emailed back. Pick a single copy in Google Sheets or Excel, share that link, and make every change there. The Group column (family, friends, work) costs nothing to fill in now and saves you an evening later when you sit down to plan tables.

Setting a plus-one policy you can actually hold

The Party size column is where a plus-one policy lives. Decide the rule once - married and engaged couples get a 2, everyone else gets a 1 unless you know the partner - and apply it consistently down the column. Because Party size counts people rather than rows, your final headcount is simply the sum of that column, and you never have to guess whether a name means one person or four.

Consistency is what makes the policy defensible. When someone asks why they did not get a plus-one, being able to point to a single rule you applied to everyone is far easier than defending a dozen individual judgment calls. Note the party size at invitation time, and let the RSVP step confirm the actual number of people coming.

Tracking RSVPs against the list

A spreadsheet is a great place to build the list. It is a worse place to track replies. The moment you add a Status column and start typing yes, no, and maybe by hand, you are back to chasing forty people over WhatsApp and copying their answers into cells one at a time. That works for twenty guests and quietly falls apart at a hundred and fifty.
