WhatsApp broadcast message sample

# WhatsApp broadcast message samples:
short, specific, and asking for one reply.

A good WhatsApp broadcast message reads like it was written to one person, because that is how it arrives. It says who you are in the first line, gives the facts in the order people need them, and ends with a single request. The ten samples below cover a class reminder, a church service, team practice, a shift pickup, a clinic recall, an HOA meeting, a fundraiser, a store promotion, a holiday closure and a volunteer call. Each asks for a reply, which is the part a broadcast handles worst, so the page ends with how to collect those replies as a count.

## What makes a broadcast message work

Lead with your name, not a greeting. A broadcast lands as a one-to-one chat, and the recipient may not have chatted with you in months. Maria from Riverside Yoga here does more than Hi everyone, which also gives away that the message went to a crowd.

Give the facts in reading order: what, when, where, then what you need from them. Write the day out in full and include AM or PM. Keep the whole thing short enough to fit in a notification preview, which on most phones is about three lines.

Ask for exactly one thing and say how to do it. Reply YES, reply with a number, tap a button. A broadcast that asks two questions gets answers to neither.

Each sample is written for a specific situation. Swap the names, days and places for your own.

### Reminders and services

> Maria from Riverside Yoga here. Tuesday's 6:30 PM flow class is on as usual, but we have moved to the larger room at the back of the building, so come in through the side door on Elm Street. Mats are provided this week while ours are being cleaned. Reply YES if you are joining so I know how many blocks to set out.

> Grace Community Church, Pastor Dan writing. This Sunday we hold a single combined service at 10 AM instead of the usual two, with a potluck lunch afterwards in the fellowship hall. If your family is staying for lunch, answer with the number of people coming and whether you are bringing a main, a side or a dessert. Childcare runs through the service.

> Coach Rivera, Westfield U12 soccer. Practice is Thursday at 5 PM on field 3, the one nearest the parking lot, because field 1 is being reseeded. Bring shin guards, a water bottle and the gray jersey, not the blue one. I need a headcount by Wednesday night to set up the small-sided games, so send me IN or OUT.

> Hi, it's Jenna at the Oak Street Cafe. Marcus is out sick and we need someone to cover the Saturday morning shift, 7 AM to 1 PM. It is farmers market day, so tips are usually the best of the week. First person to reply COVER gets it, and I will confirm back within the hour so nobody double books.

> This is Dr. Patel's office on Lincoln Avenue. Our records show your annual eye exam was due in September and nothing is booked yet. We have openings next week on Monday afternoon and Thursday morning. Text back MONDAY or THURSDAY and the front desk will call with exact times, or text LATER if this fall is not good and we will check in after the holidays.

### Business and community

> Pinecrest Homeowners Association, from Linda the board secretary. The annual meeting is Tuesday, November 18 at 7 PM in the clubhouse. We will vote on the new landscaping contract and the pool hours for next summer, and we need 40 households present or by proxy to make it official. Please answer ATTEND, PROXY or NO so we can confirm quorum ahead of time.

> Tom from the Lakeside Elementary PTA. The fall run is Saturday, October 11, from 9 AM at the track behind the school, and the money raised buys new shelving for the library. Runners of all ages welcome, and walkers too. Could you let me know by Friday whether your family will take part, cheer from the bleachers or sit this one out? A single word is plenty.

> Bloom and Branch flower shop, this is Carla. We just received the first peonies of the season and they will not last the weekend. Regulars on this list can reserve a bunch before we put them out front on Friday morning. Reply with how many bunches you want, up to three, and I will set them aside with your name until Saturday at noon.

> Sunrise Veterinary Clinic here. We are closed Thursday and Friday for Thanksgiving and reopen Saturday at 8 AM. For emergencies on those days, Metro Animal Hospital on Route 9 is open around the clock. If your pet is on a prescription that runs out before Saturday, text REFILL today and we will have it ready at the counter by Wednesday at 5 PM.

> Hey, it's Sam with the Harbor Food Bank. A truck with 40 pallets of produce arrives Monday at 7 AM and we need twelve people to unload and sort it by 11. Gloves, coffee and bagels are on us. Can you make it? Answer with YES, MAYBE or NOT THIS TIME, and if you can bring a friend add their name too.

## Why these ask for a reply, and why that is the hard part

### A broadcast collects replies one chat at a time

Each YES from the yoga list arrives in a separate conversation. With 60 recipients, counting means opening 60 chats and keeping a tally on paper.

### You cannot remind only the silent

WhatsApp has no view of who has not answered, so a second nudge goes to everyone, including the 25 people who already said yes.

### People who never saved you never saw it

A broadcast is delivered only to contacts who have your number saved. Those who did not are on your list and off your radar.

## Sending the same samples with buttons

Eventi takes the same text, with the question turned into up to three buttons such as Attend, Proxy and No, and sends it to each contact as their own WhatsApp message from Eventi's verified number with your name in the first line. Taps are counted live and export to a spreadsheet. Reminders go only to people who have not tapped, on your schedule, and stop the moment they do. Contacts without WhatsApp get the message as a text. Creating the account and the list is free, with no credit card.
